        DCS Registrar

        General Statement of Job

        Under general supervision, the registrar is responsible for the maintenance of student records, processing of enrollment, transfers, and withdrawals from the campus. Assists with testing preparation and administration. Works independently in the performance of all functions necessary to maintain an efficient and organized office in a professional and confidential manner. Reports to principal and/or lead counselor.



        Registration & Data Entry

        Register new students by verifying residency, eligibility, credit level status, immunization, etc., and enter data into computerized student record system
        Manage student record system by enrolling and transferring students, receiving and sending records, creating/generating/changing student class schedules, maintaining files and generating reports
        Review and interpret student information, including graduation standards, transcripts, etc.
        Prepare a variety of documents and reports including transfer/transcripts, grading, and correspondence
        Complete and submit all state required reports

        Coordination of Testing

        Assist testing coordinator(s) with a variety of standardized test administration duties
        Prepare and assist in the distribution of testing materials
        Support testing coordinator(s) during the administration of standardized testing

        Office Management

        Complete all secretarial/clerical functions of the Student Services Department in an efficient and timely manner
        Maintain student files
        Assist counselors with the preparation of reports and student data information
        Arrange student and parent conferences with counselors
        Perform other duties as needed for the efficient operation of the department

        Thorough knowledge of applicable policies and procedures
        Exceptional customer service and professional demeanor with excellent communication skills, both written and oral, including the ability to use correct grammar, vocabulary, spelling, and punctuation
        Proven ability to build and maintain professional, effective working relationships
        Knowledge of modern office practices and procedures
        Attention to detail, with ability to maintain complete and accurate records and to develop standard reports from those records
        Strong technology skills, including use of Microsoft Office Suite, Google Workspace, and/or other programs for word processing, data management, and communication
        Ability to work effectively both independently and as part of the student services team
        Adaptability and willingness to learn new procedures, technology, etc.


        High School diploma required, supplemented by experience in office support. Associate’s Degree or higher from an accredited institution in secretarial science or business preferred.



        Physical Requirements: Must be able to operate a variety of equipment including computers, copiers, etc. Must be able to exert up to 10 pounds of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects.

        Conceptual Awareness: Requires the ability to observe, compare, and contrast various people, data, or items.

        Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. Includes receiving instructions, assignments and/or directions from colleagues or supervisors.

        Language Ability: Requires the ability to read and prepare a variety of materials, correspondence, reports, handbooks, forms, lists, etc.

        Intelligence: Requires the ability to rationalize and solve problems with a variety of variables, aligned with policies, procedures, and professional expectations.

        Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.

        Numerical Aptitude: Requires the ability to use mathematical operations and apply mathematical skills to solve work-related problems; including but not limited to adding, subtracting, and utilizing decimals and percentages.

        Motor Coordination & Dexterity: Requires the ability to coordinate hands and eyes rapidly and accurately. Must have minimal levels of eye/hand/foot coordination.

        Visual and Spatial Aptitude: Requires visual acuity to complete essential duties, including the ability to conceptualize visual representations, size, shape, and color.

        Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.

        Physical Communication: Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear). Must be able to communicate via telephone.
